1.     Introduction

Confidentiality and data protection are core principles of our business. When using our website and engaging our services, you entrust us with personal and sensitive data, and we are fully committed to safeguarding this information through strict confidentiality measures, secure processing practices, and full compliance with all applicable regulations.

This Privacy Policy explains how Aurora Language Services Inc. (“Aurora”, “we”, “us”, “our”) collects, stores, uses, processes, and protects your personal data in accordance with the General Data Protection Regulation (GDPR), the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable Ontario, Canada, and international privacy laws.

It applies to all handling of personal information in any format, irrespective of country of origin or transfer, or nationality/citizenship of the Data Subject.

Following GDPR, PIPEDA, and other applicable privacy laws, Aurora Language Services Inc. may act as a Data Controller (or an equivalent role that determines the purposes and means of the processing) of your personal data, referring to all interactions with you in which we collect and process your information, including sharing your information with Data Processors we work with. We may also act as Data Processor (processing the data on behalf of a Data Controller or equivalent role) of your personal data.

Personal data is defined as any information that can be used, alone or with other data, to identify a specific individual, covering direct identifiers such as name or address and indirect ones such as IP address, location, online IDs, health info, habits, etc. that can be linked back to a person.

Data we collect typically includes, but is not limited to:

  • Your first and last name, company name, job title/role, email, phone number, work address, and individual service preferences

  • Your financial and billing information such as bank account or other payment information

  • Any other personal information that might be included in or part of content submitted for translation or other linguistic services

We ensure that all personal information is obtained with adequate and express content, and take every measure to ensure that your personal data is kept current, securely stored and retained as required.  

 4.     Purpose of Data Processing

Aurora collects and processes your personal data solely to gain a better understanding of your specific needs and to perform our contractual obligations with you. This includes, but may not be limited to:

  • Client and user communication

  • Providing translation and/or other language services, and/or related linguistic services

  • Administrative and financial/accounting purposes 

  • Information security and quality assurance 

  • Compliance with legal obligations 

5.     Confidentiality Commitment and Security Measures

Aurora follows generally accepted commercial and technical standards and procedures to protect your personal information against unauthorized and/or unlawful access, processing, disclosure, change, destruction, damage (both on-line and off-line), or accidental loss. This includes but is not limited to:

  • Secure storage, controlled and password-protected access, encrypted transfers of data

  • Routine security checks

  • No disclosure of personal and client information without explicit written permission 

  • All company staff and subcontractors are bound by stringent NDAs

  • Limitation of data retention to essential information only and only what is strictly necessary

  • Secure deletion of data when requested and/or no longer required

Online data transmissions via the Internet are subject to potential interception, putting them at risk for being compromised and impacting their confidentiality and integrity. Aurora does not guarantee, and assumes no liability for, the security and integrity of any data transmitted via the Internet.

6.     Legal Basis for Data Processing

Besides GDPR, PIPEDA, and other international data protection regulations, data processing may need to meet other legal requirements, including:

  • Fulfillment of contracts 

  • Legal compliance

  • Legitimate business interests connected with client engagement, quality control, security measures, record keeping, etc.

  • Your consent to use and store data

7.     Data Retention

Aurora will retain your personal data for as long as necessary:

To fulfill agreed service(s)

  • To comply with any other/new requests as an active client

  • To comply with legal and financial/tax retention periods

Aurora will never sell, trade, or rent your personal information to third parties other than as described in this Privacy Policy or if we have obtained your express permission. We may share your personal data as follows:

  • To authorized linguistic partners who are bound by strict confidentiality and non-disclosure agreements

  • To service providers and processors (hosting and secure storage companies, accounting and tax firms)

  • To legal and regulatory authorities if/as required

In case your personal data was transferred outside the EU or Canada, Aurora will take all precautions with respect to this Privacy Policy to prevent, contain, and/or stop disclosure of confidential information. Appropriate safeguards such as standard contractual clauses will be applied.

  • Access, confirmation, correction, and/or deletion of your data
